Vendor Agreement

The Lions Club Market Place will take place in conjunction with Schooners Days which will be held at Round Lake Park in Eden Prairie, MN on 5/31 - 6/2, 2024. Schooner Days features Carnival Rides Midway, games, Bingo and Beer Garden under the “BIG TOP”, and food stands. The event is held outside rain or shine and is a large community celebration with free admission.

Schooner Days Hours: Friday May 31: 4 p.m. to 11 p.m. (Bingo 5 p.m.-11 p.m.)

Saturday June 1: 11 a.m. to 11 p.m. (Bingo 11 a.m.-11 p.m.)

Sunday June 2: 11 a.m. to 5 p.m. (Bingo 11 a.m. to 5 p.m.)

Vendor Hours: Friday, May 31: 4 p.m. to 8 p.m.

Saturday, June 1: 11 a.m. to 8 p.m.

Sunday, June 2: 11 a.m. to 5 p.m.

Registration is on a first in and paid, first in basis. To reserve space, the enclosed Application must be completed, properly signed, and returned with required documentation and payment. By submitting the Vendor Application, the Vendor is agreeing to the following Terms and Conditions. When the Application is received and approved, the payment will be processed, and confirmation of the Agreement will be sent to the Vendor.

Terms and Conditions

1. Tent Site and Tents. Vendor exhibit space is 10’ by 10’. Cost is $195 per site. Vendors are responsible for providing their own tents, tables, chairs and displays. Tents may NOT be spiked into the ground but must be individually secured with weights. Tents must meet the flammability standards of CPAI-84 or the Flame Propagation requirements of NFPA 701. Eden Prairie Fire Department will be checking for certifications that tents meet one of these safety requirements. Electricity (regular 110 volt) will be available at an additional cost of $15. Vendors should bring their own extension cords to access the electrical service. The Eden Prairie Lions reserves the right to adjust site locations if necessary.

2. Items Offered for Sale. The Eden Prairie Lions reserves the right to limit the sales of any items which are deemed inappropriate to the family atmosphere of the event. Any item found to be inappropriate shall be immediately withdrawn and removed from the premises. Failure to do so can result in the vendor space being closed without any liability to the Eden Prairie Lions. Vendors are specifically prohibited from selling or giving away as prizes any toy guns, knives, swords, laser pointers or similar objects.

3. Set Up, Vehicles and Move In and Out. Vendors may set up beginning at 9 a.m. on Friday, June 2. Vendors will need to move materials and supplies in before or after event hours as there can be no vehicle movement on the grounds during event open hours. Parking will be at a remote location. Obstructing sidewalks and passageways is not permitted. Vendors must confine themselves to the space assigned. Vendors are not to start “tear down” procedures until after daily Schooner Days closing hours. Golf cart shuttles will be shuttling patrons during the event and may be available to vendors during show hours to bring in additional products during Schooner Days.

4. Required Insurance. All Vendors must have general public liability insurance for $300,000 per person / $1,000,000 per occurrence, and Workers Compensation insurance (if applicable as per State Statute).

All Vendors must submit a Certificate of Insurance with their Application and list Eden Prairie Lions and the City of Eden Prairie as additional insured.

5. Liability and Release. The Vendor agrees to save and hold harmless, the Eden Prairie Lions and the City of Eden Prairie, from any debt, liability or judgment incurred for any cause of action, claim or damage, liability, cost or expense to persons or property resulting directly or indirectly from the acts or omissions, merchandise sold, presence or operation of said Vendor, its agents or employees, at the Schooner Days site before, during, or after the Schooner Days event. The Vendor, in signing this agreement, expressly releases Eden Prairie Lions and the City of Eden Prairie from all claims for any losses, damages or injuries incurred during the Vendor Market Place.

6. Sales Tax Forms. All vendors, whether non-profit or for profit, selling items or not selling items, must submit Minnesota Department of Revenue form ST-19 (Operator Certificate of Compliance) with their Space Lease Agreement.

7. Security. There will be law enforcement located on the grounds throughout the event. However, they are unable to watch over individual booths and it is recommended that booths never be left unattended. While we will provide security during non-Vendor show hours, we will not be responsible for any item(s) lost, damaged, or stolen before, during, or after regular hours. Vendors should take appropriate precautions for the safekeeping of their merchandise.

8. Cancellation/Refund Policy. There will be no refunds. Money paid for the vendor show will be used to offset costs with any remainder going to the Lions Club for its charitable giving program. Vendors may not sublease or assign their space without the approval of the Eden Prairie Lions.

By signing and submitting this Vendor Agreement it is agreed that the above Terms and Conditions will apply to the Schooner Days Market Place if Vendor Space is Approved.
